ORDERING POLICY

Thank you for your interest in our catering services. We look forward to being a part of your event. CaterTrax Catering would like 48 hour notice for all typical catering orders. To serve you in the best possible manner, please follow the lead times on the catering website for any catered function to guarantee your specific order and time. We would appreciate 48 hours for orders involving hot prepared entrée. Compass Group, NAD understands that last minute orders occur, and as always, we will do our absolute best to accommodate your catering and event needs.
Please place your online orders no later than 3:00 p.m. the day prior to ensure timely processing (Some hot menu item may require longer notice). After 3:00 p.m., we cannot guarantee product selection or delivery. Same day delivery may not be possible and we would inform you when delivery could be made. Our regular catering hours are from 7:00 a.m. to 5:00 p.m. Early morning, evening and weekend functions are available with an additional labor charge.
Orders placed late Friday or over the weekend will not be received in our office until Monday morning. Your order is not confirmed until we have confirmed your event information in CaterTrax.

DELIVERY CHARGES:

All service is FREE DELIVERY unless otherwise noted. A $25 service charge is added for each china delivery outside of building AR6.
Flowers, linen, and china service are available by request and at an additional charge.

If you have moved a catered event from one location to another, please alert us to the exact new location to avoid confusion and unnecessary charges.

ORDER CHANGES AND CANCELLATIONS:

We would like 48 hour advance notification of cancellation, we may be able to cancel any orders if we have not completed the order. If there are costs incurred as a result of your cancellation, client will be billed for those costs and not the entire cost of the event. Please call us to cancel a last minute order at 401-640-0763 or the kitchen at ext 64624 and speak to a manager or catering coordinator. Do not email, fax or voice mail for last minute cancellations.
Modifying your order – You can modify your order on the catering website up to the order lead time for that menu. After that time, modifications to orders must be called in to the manager at 401-640-0763 or the kitchen ext 64624.
Substitutions: We reserve the right to vary menu selections when necessary to meet market conditions.

PRICES:

Prices on our menus and website may be subject to change due to market price fluctuation and product availability. Substitutions and additions on any menu will reflect price changes on the final invoice. We recommend clients request a new price quote if there are any additions or substitutions. Price changes may vary. Sales tax is applied to all orders.

STAFF CHARGES:

Professional staff rate is $30 per hrs with a minimum of 4 hrs. In house staffs hours and over time are estimated and will be adjusted on final invoice. If your event should run longer than anticipated, your invoice will be adjusted.

PAYMENT TERMS AND GRATUITY:

In addition to credit charge payments, CaterTrax Catering will accept your personal or company check in advance or on delivery of order. For purchase orders, cost centers, and orders to be billed, terms are net 20 days.

DAMAGES AND LIABILITY:

Client’s responsibility is to ensure that the table for setup and any flammable items including our décor material is protected from the heat source of our chafers. If our staff is not hired to be present at client’s event, client will be responsible for the unattended chafing dishes and all of Compass Group, NAD equipment. Compass Group, NAD does not assume or accept any responsibility due to negligence by the client or any attendees of the client’s event that caused any damage as a result. Missing or damaged equipment, décor, place settings, centerpieces, linens, serving utensils, salad bowls will be billed at replacement cost to client. It’s the responsibility of the client to ensure that all of CaterTrax Catering properties are present when staff arrives to pick up.

FOODBORNE ILLNESS:

Consuming raw or undercooked meats, poultry, seafood, shellfish, eggs or unpasteurized milk may increase your risk of food borne illness.

FOOD ALLERGY:

Before placing your order, please inform us of any food allergy’s at your event. Common food allergens are; peanuts, tree nuts, shellfish, fish, eggs, milk, wheat and soy. Refer the food allergy concern to the chef, manager or person in charge at the time of your event as well.

FOOD LEFTOVER POLICY:

It is our policy that any leftover food will be discarded after the event. We will leave leftovers that are safe to consume (leftover cookies/brownies and can beverages), if the client requested beforehand. We do not recommend serving leftovers after the event as we cannot anticipate how long leftover food has been held at unsafe temperatures, nor are we qualified to evaluate the condition of the leftover food. Under no circumstances can leftover food be given to guests. The client will assume full responsibility for any liability as a result from consuming leftover food after the event.
